    The Role

    The primary responsibility of this position is to assist in the overall workflow processes of M3 Insurance’s Regional Office. These processes require the Administrative Project Coordinator to utilize clerical and automation skills to assist in maintaining documents produced for clients, prospects, and carrier partners, receptionist related activities such as receiving and routing incoming calls and greeting visitors. The Administrative Project Coordinator will also support and assist the Employee Benefits and Property & Casualty Departments in servicing accounts with emphasis on processing paperwork and updating EPIC.


    Property & Casualty Support

    • Review new and renewal policies with EPIC, quotes, and prior term’s policies for accuracy.
    • Review endorsements with EPIC and with original request for accuracy.
    • Document EPIC according to department procedures.
    • Issue certificates of insurance, evidence of property forms, and auto ID cards, when licensed.
    • Process cancellations and reinstatements from Carriers.
    • Complete data entry in EPIC and Excel.
    • Understand agency policy and procedures, customer service standards, and comply with Employee Manual and Procedure Guide.

    Employee Benefits Support

    • Maintain appropriate data in Epic by posting renewals and reviewing schedules of benefits as they are received.
    • Provide miscellaneous administrative and project support as requested.
    • Utilize processes and procedure guidelines to perform the work expected.
    • Process Requests for Proposals (RFPs) from Account Managers.

    Administrative Support

    • Greet and announce all M3 guests.
    • Receive and route all incoming calls special deliveries to the appropriate M3 employee.
    • Support with planning and coordination of agency workshops, tradeshows and seminars.
    • Assist with office management, including technology and equipment needs, maintain office supplies, help reserve office resources, and maintain kitchen space
    • Front desk and receptionist responsabilities 


    • High school diploma or equivalent is required.
    • Minimum of one year administrative/clerical experience and/or training is required.
    • Demonstrated proficiency in Microsoft Windows-based software applications, including Word, Excel, and PowerPoint required.  Minimum requirement of 85% score on beginner; and 65% on intermediate skills assessment is preferred.
